Equipment Booking 

Admins can create and manage resources.

  • Quantity 
  • Room assignment
  • Enable standalone bookings (optional)
  • Cost (optional) 

When booking a room, patrons can choose:

  • To add equipment
  • Select the quantity 

For standalone equipment bookings, patrons can search by category. This will be a similar workflow to booking a room.

Room Booking Report

An enhancement has been made to show the event note in the room booking report. 

Event Display

An enhancement has been made to increase the default events displayed from 6 weeks to 6 months in advance.

Event Reviews

Event reviews have been added to the Event Overview page. This is the same page where staff can add the attendance after the event has concluded. You'll be able to see: 

  • The average star rating 
  • The total number of reviews
  • Patron feedback

Preview Events

A new tool has been added so staff can check an event before it is published.

  • Click Pending Approval
  • Search for the event
  • Click the Preview button on the right side

Internal Event Note

The internal event note is available via the API.

Bug Fixes

Multi-Session Events
A bug was fixed where a multi-session event wouldn't allow you to log the attendance if there were upcoming events. 

Waitlists
A bug was fixed where open spots on the waitlist were not properly being communicated to patrons very close to an event's start time. 

Room Booking Approvals
A bug was fixed where staff-level users may have been unable to approve room bookings. 

Clarification 

Events and Pending Reservations
Currently, only events and pending reservations within a year will display. This may lead you to think there are missing events and reservations, we are working to resolve this in a future update. 

  • Events further than a year out are not searchable form the Home page to edit.
  • Pending reservations are not in the "pending approval" list, even though they are counted in the navigation bar number.

Search Bar for Mobile

The search bar has been added to mobile devices by default. Previously, a user would need to tap the hamburger menu (three lines) to expand the menu to see the search bar option.

UI Text Editing

Admins will see a new column with the default text. This will make it easier to track changes to the displayed text.

Private Event Type

Admins can set the visibility of an event category to staff or public.

Filter by Available Room Time

Users can pick a capacity, location, and amount of time needed. This will return a list of the next available rooms that meet their criteria. When a user selects a room, unavailable times are removed from the dropdown picker. 

Disable All Waiting Lists

Admins can set the Default Waiting List Capacity field to 0 on the first Settings tab.

Calendar View for Patrons 

From Upcoming Events, patrons can choose to see events in the list view or switch to a calendar view. Both views update according to selected filters, and the list view remains the default.

Room Calendar for Staff 

Calendar View has been removed from the left menu and replaced by Room Calendar. Staff can apply filters to refine the room bookings for an at-a-glance view. Click on an event title for more information and to click through to the event page.

Waiting List Granularity 

After publishing an event, you can set the number of wait list spots available. This will allow you the flexibility to set a number that is higher or lower than the default. 

  • Search for your event 
  • Scroll down to Waiting List 
  • Click on the cog icon 
  • Set Automatic notifications On or Off 
  • Enter the Waiting List Capacity for the event
  • Click Save

To check the current capacity, open the cog and use the X or Cancel button to close.

Multiple Approvals 

Managers and Admins will see the option to approve multiple events from the Pending Approval menu. You can filter events by title to quickly approve some or all events in a series without opening an event.

Select the check box next to Event Name column header to select all the events on the page for approval.

Create Brochure

A 'Create Brochure' button has been added after the Filter Events section. This calls out a powerful feature so users don't have to scroll to the footer link.

Room Layout + Booking Fee

Flat rates have been added to Booking Types, this will allow you to set a flat rate and a fee for each additional hour.

Layout and Booking Type Included in the Bookings Report

From 'Room Bookings', run a 'Booking search' with your criteria. When you download the search results, there are columns with the layout and booking type. 

Hybrid Events

In combination with the Booking Requirements for an In-Person event, you can also add a URL for online attendees and set the number of online booking spots.

Booking Closes

  • Event start time
  • Event end time
  • A certain number of hours before event start
  • A custom date & time
  • After the first session has taken place
  • After all sessions have taken place

Improvements to the Room Booking Report

For libraries that use custom questions to collect information about room setup, these questions are now included in the room booking report.

Support for Multi-Day Events

A new Event Duration has been added when creating an event, you can now select Multi-Day Event. This will allow you to set a start date and end date.

Version 1.1 has added additional fields to ticket_details.

Accessibility Improvements

Vega Program is currently undergoing an accessibility audit. Recent changes to improve accessibility include: 

  • Adding a pause button on carousels 
  • UI improvements for the list of related events on the mobile view
  • Increase color contract
  • Added more aria-labels

ADMIN SETTINGS

Add a Flat Cost to a Room Booking Based on the Layout 

Vega Program Admins can set a cost associated with a layout. This is a new feature in addition to being able to set an hourly cost associated with the Booking Type.

  • Room Management > Edit > Layouts > Additional Cost

Custom Time Increments for Rooms

Vega Program Admins can customize the time increments for rooms. This is what patrons and staff see in the availability bar. 

  • Room Management > Edit > Time Increments > Custom (in minutes) 

API UPDATES

  • Display booking by booking date 
  • Offset and limits for rooms
  • OfflineOnly param for event search
